Booking
Booking & Confirmation
A booking is considered confirmed once the client has accepted
the proposed quotation or itinerary and the required deposit has
been received by Kili2Sere Adventure Tours.
The booking confirmation will normally include:
- Travel dates
- Number of travelers
- Agreed itinerary
- Services included
- Services excluded
- Total trip cost
- Payment schedule
- Accommodation details, where applicable
- Special arrangements agreed between the client and Kili2Sere Adventure Tours
Clients are encouraged to carefully review their booking
confirmation and inform us immediately if any information is
incorrect.
Special requests, including dietary requirements, accommodation
preferences, airport transfers, private transportation, language
requirements, or other arrangements, should be communicated
before the trip whenever possible.

Pricing
Prices & Quotations
All prices provided by Kili2Sere Adventure Tours are based on the
itinerary, number of travelers, travel dates, and services agreed
at the time of quotation.
A quotation may change before confirmation if there are changes
to the requested itinerary, number of travelers, accommodation
category, transportation, park fees, government charges, supplier
prices, or other services.
Once a booking has been confirmed, any additional services
requested by the client may result in additional charges.
The final price and inclusions will be clearly stated in the
booking confirmation or agreed quotation.
Kili2Sere Adventure Tours accepts payment through agreed and
secure payment methods communicated directly to the client
during the booking process.
A deposit may be required to secure and confirm a booking.
The required deposit amount and payment deadline will be
communicated in the quotation or booking confirmation.
The remaining balance must be paid according to the payment
schedule agreed between the client and Kili2Sere Adventure Tours.
Payment Safety
Clients should only make payments using official payment
instructions provided directly by Kili2Sere Adventure Tours.
Any bank charges, transfer fees, currency conversion fees, or
other payment-related charges may be the responsibility of the
client unless otherwise agreed in writing.
A booking may not be considered fully confirmed until the required
payment has been received and acknowledged by Kili2Sere Adventure Tours.

Cancellation
Cancellation By The Client
Any cancellation request must be submitted to Kili2Sere Adventure
Tours in writing.
Cancellation and refund conditions depend on:
- The date the cancellation is received
- The amount already paid
- Non-refundable park fees and permits
- Accommodation cancellation policies
- Transportation arrangements
- Supplier terms
- Other costs already committed on behalf of the client
Where a refund is applicable, Kili2Sere Adventure Tours will
calculate the refundable amount after deducting applicable
non-refundable costs and charges.
Clients are encouraged to contact us as early as possible if
they need to cancel or change their trip.

Modifications
Changes To a Booking
Clients may request changes to their itinerary before or during
the trip. We will make reasonable efforts to accommodate such
requests, subject to availability and additional costs where applicable.
Changes may include:
- Travel dates
- Number of travelers
- Accommodation
- Transportation
- Safari routes
- Trekking routes
- Additional activities
- Changes to the length of the trip
Any additional costs resulting from a requested change will be
communicated to the client before the change is confirmed whenever
reasonably possible.

Operational Changes
Cancellation Or Changes By kili2sere Adventure Tours
Kili2Sere Adventure Tours reserves the right to modify, postpone,
or change an itinerary when circumstances beyond our reasonable
control make the original arrangement unsafe, impractical,
or unavailable.
Such circumstances may include:
- Severe weather
- Mountain conditions
- Park closures
- Natural disasters
- Road conditions
- Government regulations
- Changes in park regulations
- Safety concerns
- Accommodation or supplier issues
- Civil emergencies
- Other unforeseen circumstances
Where possible, we will provide a suitable alternative and
communicate any changes to the client as soon as reasonably possible.
Safety Priority
Client safety will always be considered a priority when making
operational decisions.

Mountain Adventures
Kilimanjaro, Meru & Mountain Trekking
Mountain trekking is an outdoor activity and involves inherent
risks. These may include altitude-related illness, changing weather
conditions, cold temperatures, difficult terrain, fatigue,
dehydration, falls, and other environmental or physical risks.
Kili2Sere Adventure Tours provides experienced mountain guides
and follows established safety procedures to help reduce these risks.
Our guides monitor clients during the trek and may recommend rest,
additional acclimatization, route changes, descent, or termination
of the trek when necessary.
The mountain guide may make a safety decision to stop or descend
a client when continuing would create an unacceptable risk to the
client or the trekking team.
Clients are expected to follow the instructions of their guides
and communicate honestly about how they are feeling during the trek.

Wellbeing
Health & Medical Information
Clients are responsible for providing accurate and relevant
information about their health, medications, allergies, previous
medical conditions, and any other circumstances that may affect
their ability to participate safely in a trip.
For mountain trekking, clients should disclose relevant health
information before starting the trek.
Kili2Sere Adventure Tours may recommend medical consultation or
additional precautions where appropriate.
If a client becomes unwell during a trip, our team will take
reasonable steps to assist and may recommend medical attention,
rest, descent, evacuation, or other appropriate action depending
on the circumstances.
Any medical treatment, evacuation, hospital, or related costs are
generally the responsibility of the client and/or their travel
insurance, unless otherwise agreed.

Protection
Travel Insurance
We strongly recommend that every client obtains comprehensive
travel insurance before travelling to Tanzania.
Insurance should, where applicable, provide adequate coverage for:
- Medical treatment
- Emergency evacuation
- Mountain trekking
- Trip cancellation
- Trip interruption
- Lost or damaged baggage
- Personal belongings
- Other travel-related emergencies
Clients are responsible for checking that their insurance policy
covers the activities included in their itinerary, particularly
high-altitude trekking and emergency evacuation.
Kili2Sere Adventure Tours is not responsible for losses that
should reasonably be covered by the client's travel insurance.

Client Duties
Client Responsibilities
Clients are expected to:
- Provide accurate passport and personal information.
- Provide correct travel dates and booking information.
- Follow instructions provided by guides, drivers, and other staff.
- Follow national park rules and regulations.
- Respect local communities and cultural practices.
- Respect wildlife and the natural environment.
- Take reasonable care of equipment provided to them.
- Inform our team promptly of any health, safety, or personal concerns.
- Follow reasonable safety instructions throughout the trip.
- Ensure that they have the appropriate travel documents and insurance.
Failure to follow safety instructions or local regulations may
affect the client's participation in certain activities.

During Travel
Itinerary Changes During The Trip
Travel conditions in Tanzania can sometimes change unexpectedly.
Road conditions, weather, park regulations, accommodation availability,
wildlife movements, mountain conditions, or other circumstances may
require an itinerary to be adjusted.
Kili2Sere Adventure Tours will make reasonable efforts to provide
the services described in the confirmed itinerary while maintaining
flexibility when circumstances require changes.
Any significant changes will be communicated to the client as
soon as reasonably possible.
Accommodation is provided according to the category and properties
stated in the confirmed itinerary.
Where a specific accommodation becomes unavailable due to
circumstances beyond our control, Kili2Sere Adventure Tours may
arrange alternative accommodation of a similar standard where
reasonably possible.
Any significant difference in accommodation arrangements will
be communicated to the client.

Getting Around
Transportation
Transportation services are provided according to the agreed itinerary.
Travel times in Tanzania can vary due to road conditions, traffic,
weather, wildlife, road works, or other circumstances.
Clients are expected to follow reasonable safety instructions
provided by drivers and guides while travelling.

Safari
Safari & Wildlife Experiences
Wildlife sightings during safaris are naturally unpredictable.
Kili2Sere Adventure Tours cannot guarantee sightings of specific
animals or wildlife events.
Our guides will make reasonable efforts to provide the best possible
wildlife experience based on their knowledge, current conditions,
park regulations, and animal movements.
Clients must follow park regulations and maintain a respectful
and safe distance from wildlife as instructed by their guide.

Services
Prices & Included Services
The services included in each trip will be clearly stated in the
quotation or booking confirmation.
Depending on the package, inclusions may include accommodation,
meals, park fees, transportation, guides, porters, camping equipment,
airport transfers, activities, or other agreed services.
Any service or expense that is not specifically included in the
confirmed quotation may be charged separately.
Clients are encouraged to review the inclusions and exclusions
before confirming their booking.
For trekking and camping trips, equipment provided by Kili2Sere
Adventure Tours will depend on the selected package and itinerary.
Clients are expected to use company equipment responsibly and
report any damage, loss, or problem to their guide or company
representative as soon as possible.
Where damage or loss is caused by intentional misuse or negligence,
the client may be responsible for the associated replacement or
repair cost.

We encourage all travelers to leave destinations as they found
them and help protect Tanzania for future generations.

Privacy & Client Information
Kili2Sere Adventure Tours may collect and use client information
necessary to organize and provide travel services.
This may include names, passport information, contact details,
travel dates, accommodation information, dietary requirements,
and other information required to operate the trip.
Client information will be used for legitimate business and
travel purposes and may be shared with relevant service providers
when necessary to deliver the agreed services.
We do not intentionally share client personal information with
unrelated third parties except where necessary to provide agreed
travel services, comply with legal requirements, or protect the
safety and security of clients and our operations.

Photography
Photographs & Media
During tours and trekking activities, photographs or videos may
sometimes be taken by our guides or team members.
We respect client privacy and will seek appropriate permission
before using identifiable client photographs for promotional or
marketing purposes.
Clients may inform us if they do not wish to appear in promotional
materials.

Unforeseen Events
Force Majeure
Kili2Sere Adventure Tours shall not be held responsible for delays,
cancellations, interruptions, or changes resulting from circumstances
beyond reasonable control.
These may include:
- Natural disasters
- Extreme weather
- Government restrictions
- Political or civil emergencies
- Disease outbreaks
- Park closures
- Transportation disruptions
- Fires
- Other unforeseen events
Where such circumstances occur, we will make reasonable efforts
to assist clients and provide practical alternatives where possible.

Support
Complaints & Customer Support
We encourage clients to communicate any concern or problem with
their guide, driver, or company representative as soon as it occurs.
Early communication allows us to investigate the matter and,
where possible, resolve it during the trip.
Formal complaints may also be submitted to Kili2Sere Adventure
Tours in writing after the trip.
We are committed to listening to client feedback and continuously
improving our services.

Confirmation
Agreement
By confirming a booking with Kili2Sere Adventure Tours, the client
confirms that they have had the opportunity to read and understand
these Terms & Conditions and agrees to comply with the applicable terms.
These Terms & Conditions should be read together with the client's
quotation, confirmed itinerary, booking confirmation, and any specific
written arrangements agreed between the client and Kili2Sere Adventure Tours.
